19. Receive Purchase Orders

You can receive purchase orders using the Purchase Orders screen. To Record any PO Received for a selected Purchase Order, press the Record PO Received... button: A popup will appear. A similar popup can be used to Modify or Undo the PO Received after recording Purchase Orders as received.

The Record Purchase Order Received screen will be populated with the selected Purchase Order Detail:
  • For an Purchase Order Detail, the # to Receive will be defaulted to the # Ordered and the Cost per Unit will be the same as the Product’s Cost. You may change these values as desired.
  • For a Purchase Order Detail, the # to Receive will be defaulted to the # Ordered less # Received and the Cost per Unit will be the Cost for the last Received item for the same PO Detail. You may change these values as desired.
Notes
1. After changing the Cost of the Product, the Product’s Cost and Unit Price must be updated accordingly. For this purpose, an Average Cost-Inventory Costing Method is applied: The application recalculates an item's cost at each receipt by averaging the actual cost of the receipt with the cost of the current inventory. You will be prompted to confirm.

2. You may need to Record some or all the # Ordered as Received:
  • For receiving all the Units, the Purchase Order Detail will be recorded as and the Product’s Units on Order and Stocked will reflect this number.
  • For receiving a partial # Ordered, you have a choice of closing the Purchase Order Detail as Completed, or keep the rest of the units on Backorder. In the former case, the Purchase Order Detail is marked as whereas in the latter case it will be recorded as a . When a Purchase Order Detail is on backorder, you can continue receiving until all Units are received. In both cases, the Product’s Units on Order and Stocked will reflect the # to Receive.
You can preview and/or print the result by pressing the animated blue View the Received PO Detail... button next to the Record PO Received... button.
